Access by role
Each person sees only what their role permits, from a student’s own record to the board’s full view.
An institution holds the personal data of children, families and staff. Edkem Learning decides who sees what by role, records consent, and logs every view and change.
Each person sees only what their role permits, from a student’s own record to the board’s full view.
Trustees, principals, heads of department and office staff each get the access the institution decides, and nothing more.
Consent for a child’s data is collected from a parent, stored, and shown when asked.
Every view and every change is logged with who, what and when, for inspection at any time.
Data is encrypted in transit and at rest, and backed up on a schedule the institution agrees.
When a member of staff leaves, one change removes their access everywhere.
The Digital Personal Data Protection Act, 2023, and the Rules notified in November 2025, set duties for every organisation that holds personal data, including schools, colleges and universities. Most obligations come into force in stages through 2027.
The duties include clear notices, consent, verifiable consent from a parent before processing a child’s data, reasonable security safeguards, and the ability to correct or erase data when asked. Edkem Learning is designed so an institution can meet them as part of its daily running.
One system, seen four ways, each by role.
